Chatbot or AI agent: what's the difference?

Traditional chatbots, with their rigid scripts, quickly reveal their limitations: basic understanding, inflexible responses, and cumbersome maintenance for those who configure them. Generative AI-powered conversational agents are a game-changer. Where a chatbot follows a predefined path, an AI agent understands the context, adapts to the user's style, and learns continuously. The difference is akin to that between an automated answering service and an expert colleague available around the clock.

Why bother?

Three arguments often come up: the simplicity of creation, accessible without any particular technical skills; the customizationEach agent can reflect the tone, expertise, and documents specific to a business context; and the permanent availabilitythe agent remaining operational 24/7 while improving with each interaction.

Which tool should I start with?

Most major language models offer no-code agent creation, under different names depending on the platform: custom GPTs in OpenAI, Gems in Gemini, Spaces in Perplexity. However, one point of caution is the confidentiality of the data transmitted to the agent, which must be verified according to the tool and work environment used (Google Workspace, etc.).

Building your own prompt: the four-step method

Everything hinges on the quality of the instructions given to the officer. A well-constructed prompt can reach several hundred words, an investment of time that is more than compensated for later.

  1. A specific role, The more clearly defined the agent's function is, the more relevant their responses will be.
  2. A clear tone, Professional, educational, relaxed... the tone shapes the user experience.
  3. A detailed context, information about the organization, its processes, what the agent can or cannot do.
  4. Reference documents, Articles, FAQs, procedures: the knowledge base on which the agent will rely to respond.

Once the agent is created, it's best to test it with a few trick questions to adjust the prompt if necessary. And there's nothing stopping you from creating multiple agents, reusing them, or sharing them with an entire team.

Three concrete use cases in business

  • HR FAQs and training : transform HR documentation into an assistant capable of instantly responding to questions about leave, training or procedures, and freeing up the HR department from repetitive requests.
  • Internal documentation help : an agent who navigates through internal guides and procedures to extract useful information, reformulated clearly.
  • Project support and creativity : a brainstorming partner capable of suggesting ideas and supporting team innovation.

These agents do not replace teams: they augment them, by putting expertise instantly available to each employee.
